JOB TITLE: Administrative Assistant (English/Spanish, Bilingual/Biliterate)

Status: Non-Exempt/Part Time
The Rosalie Rendu Center https://www.rosalie-rendu-center.org/ is a non-profit organization which offers, free of charge, adult English as a Second Language and Citizenship Test Preparation classes to residents of East Palo Alto and neighboring communities. Our mission is to open opportunities for adult English language learners to integrate linguistically, socially, economically, and culturally into their communities. Our vision is that the Rosalie Rendu Center will inspire, educate, and promote the overall well-being of immigrants and their families through classroom and online learning, social activities, and family outings into the community. The Rosalie Rendu Center is a ministry of the Daughters of Charity of St. Vincent de Paul, province of St. Elizabeth Ann Seton, in Los Altos Hills, California.
Position Summary
The Administrative Assistant maintains student, volunteer, and donor databases; provides communication and clerical support to the Executive Director and other staff members; and assists in organizing program related activities. The Administrative Assistant actively promotes the development of a cohesive and safe community of learners where participants are known, respected, and appreciated.
Duties and Responsibilities
- Manage donor and relationship data in CRM/donor and volunteer database, including maintaining data integrity and accuracy, data entry, building and running queries and reports.
- Collaborate and work in conjunction with the bookkeeper to maintain accurate donor information
- Compose correspondence, written, and digital materials independently or from oral instructions. Support donor and volunteer stewardship activities including, but not limited to, preparation, processing, and mailing of donation acknowledgement letters, thank you letters, invitations, and other correspondence.
- Answer and respond to in-person and telephone inquiries about programs, services, and community resources.
- Respond to emails.
- Provide administrative support such as copying, filing, scheduling, and preparing materials for workshops, meetings, and events.
- Create and maintain databases and spreadsheets.
- Assist with event organization and programming.
- Attend and participate in webinars and trainings to increase professional knowledge.
- Perform related duties and responsibilities as assigned.
Required Qualifications
- Experience working directly with immigrant populations as well as in a non-profit environment
- Knowledge and experience with Microsoft Office 365, Google applications, donor and volunteer management software, video conferencing, and social media platforms.
- Bilingual / Biliterate in English and Spanish
- Strong organizational skills
- Possess or be working towards an AA degree.
- Able to make accurate basic mathematical calculations
- Practice interpersonal skills using tact, patience, and courtesy.
- Ability to work independently, interdependently, and collaboratively with a variety of people, as a team player who listens and is ready to learn
- Address new challenges and projects with a positive, innovative, and solutions-based approach
- Ability to exercise sound judgment, interpret and communicate policies and procedures, model norms of behavior that reflect high expectations.

Compensation: Commensurate with experience

Position Summary
The ESL teacher develops and facilitates effective beginner level ESL instruction with the goal of preparing adults to achieve English language proficiency and cultural competence so that their ability to contribute to their family and community may be strengthened and broadened; evaluates progress; creates a supportive learning environment; works under the guidance of the Instructional Program Coordinator; and promotes and implements the mission and vision of the Rosalie Rendu Center.
Duties and Responsibilities
- Develops and presents lessons that demonstrate planning and preparation and that are tailored to the needs of the ESL learner.
- Develops learners English language skills of listening, speaking, reading, and writing.
- Uses a variety of instructional techniques and materials including online resources that are appropriate to the course and accommodate all learning styles.
- Demonstrates an awareness and respect for adult learners individual differences, needs, and abilities.
- Creates a supportive classroom learning environment.
- Evaluates and records learners performance and progress.
- Maintains current and accurate records of learners attendance.
- Plans and coordinates the work of volunteers, when applicable.
- Keeps up to date in subject area and continually works for the improvement of instructional techniques.
- Shares ideas, techniques, and materials as appropriate with other staff members.
- Attends staff meetings and staff development sessions in addition to the teaching assignment hours.
- Other hours and assignments as determined by the Executive Director.
Required Qualifications
- BA and TESOL certificate; knowledge and experience working with adult English Language Learners.
- Ability to work with staff in a collaborative, productive, and supportive manner.
- Able to use computers and other technologies to support learning.
- Ability to engage learners at a high level to promote learning.
- Adept at fostering and cultivating community among learners.
